SENT for road carriers: what to do before and during a transport

Carriers who drive to, through or inside Poland with goods covered by the SENT system have their own role in the process. This article is a practical overview; always confirm the exact rules in the current legislation and in the PUESC instructions.
1. Find out whether your load is covered
SENT applies to specific groups of goods, identified by CN codes, and to transports above defined thresholds. Ask the sender for the CN codes and check them before you accept the job.
2. Agree who submits what
The sender submits the notification before the transport begins (SENT100), the carrier submits the SENT300 declaration with the vehicle and route data, and the recipient confirms delivery (SENT200). Agree this with your customer in advance, and do not start the transport until your part is in order. The differences are explained in SENT100 vs SENT200 vs SENT300.
3. Prepare the SENT300 data
- truck and trailer registration numbers, GPS device identifier and permit number if one is needed;
- the document (for example a CMR waybill) and its number;
- start and end dates and the border-crossing points where the cargo enters and leaves Poland;
- carrier, sender and recipient with VAT numbers and addresses;
- the goods with CN code, name, quantity and unit.

4. During the transport
Keep the GPS device switched on and transmitting, because location data is how the system monitors the cargo. Carry the documents and the confirmation with you for an inspection.
5. After delivery
The recipient confirms delivery. Keep copies of your declaration and its confirmation.
